This Privacy Policy explains how GreatLooks AI, Inc., a Delaware corporation ("Company," "we," "us," or "our"), collects, uses, discloses, retains, and protects personal information through GreatLooks.ai, our websites, applications, AI-powered modules (including the AI Beauty Companion and Provider AI Assistants), communications, Provider tools, and related services (collectively, the "Services"). This Privacy Policy applies whether you are a user seeking cosmetic or beauty guidance ("Beauty Seeker") or a participating professional, clinic, practice, or business ("Provider").

By accessing or using the Services, you acknowledge this Privacy Policy and agree to our Terms of Service. If you do not want us to handle your information as described here, please do not use the Services.

Please use care when posting content in public areas of the Platform. Public reviews, questions, answers, profile updates, articles, pages, images, and similar content may be visible to anyone and may be indexed, copied, or stored by third parties outside our control.

1. Information We Collect

We collect personal information in the following ways. We do not ask Beauty Seekers to submit medical records, diagnoses, prescriptions, insurance information, government identification numbers, payment card details, or other highly sensitive information through general chat or forms. However, the Services may process aesthetic goals, procedure interests, photos or videos you choose to submit, body or skin concerns, Provider specialties, and other context that may be sensitive or health-related. Please do not submit information that is not necessary for the Services.

Information we receive from you:

  • Registration and Profile: Name, email address, phone number, account details, contact preferences, location, profile details, and login or authentication information.
  • User Interactions and Goals: Messages, forms, aesthetic goals, procedure interests, preferences, timelines, budget ranges, location, requested Provider introductions, reviews, comments, questions, and other information you provide through the AI Beauty Companion or other features.
  • Photos, Videos, and Media: If a feature allows you to upload or share images, videos, or other media, we collect and process that media and related metadata to provide the requested feature. Depending on the content, media may reveal sensitive information.
  • Provider Onboarding and Practice Data: Provider names, business details, credentials, services, address, hours, policies, specialty information, staff information, microsite content, campaign materials, article or page drafts, images, videos, and other materials used to operate Provider tools or train Provider AI Assistants.
  • Communications: Messages, emails, chat transcripts, WhatsApp messages, X mentions, support requests, call notes, feedback, and related communications with us, our AI systems, or Providers through the Services.
  • Payment and Commercial Information: For paid Provider features, we may collect subscription status, invoices, plan information, billing contact details, transaction records, and payment processor references. We do not intend to store full payment card numbers directly.

Information we collect automatically:

  • Device, Log, and Usage Data: IP address, browser type, device identifiers, operating system, pages viewed, referring and exit pages, URLs, clicks, timestamps, session information, and feature interactions.
  • Cookies and Tracking Technologies: Cookies, pixels, web beacons, analytics tags, and similar technologies used to remember preferences, understand usage, improve the Services, support security, and measure performance.
  • Location Information: General location inferred from IP address or device settings, and any location you voluntarily provide, to personalize content and help facilitate relevant Provider connections.

  • Providers and Platform Users: Providers may send us information about their practice, leads, appointments, communications, campaigns, or requested Services. Users may provide information about Providers in reviews, questions, feedback, or support requests.
  • Social Media and Messaging Platforms: If you interact with the Services through X (formerly Twitter), WhatsApp, email, or similar channels, we may receive your username, profile information, message content, metadata, and other information based on that platform's settings and policies.
  • Service Providers and Partners: We may receive information from hosting, analytics, AI infrastructure, communications, payment, security, and support providers that help us operate the Services.

2. How We Use Your Information

We use the information we collect for the following business purposes:

  • To provide, operate, personalize, secure, troubleshoot, and improve the Services.
  • To power AI features, including the AI Beauty Companion and Provider AI Assistants, generate responses, summarize goals, draft content, route requests, and support Provider tools.
  • To connect Beauty Seekers with Providers when a Beauty Seeker requests or consents to a connection.
  • To create and manage accounts, profiles, Provider microsites, calendars, leads, campaigns, articles, pages, and support requests.
  • To communicate with you about accounts, requests, Provider introductions, appointments, operational notices, security notices, product updates, and promotional messages where permitted.
  • To analyze usage, measure performance, develop new features, improve AI quality, and create aggregated or de-identified insights.
  • To prevent fraud, misuse, spam, security incidents, illegal activity, and violations of our Terms of Service.
  • To comply with law, enforce our rights, resolve disputes, and maintain business records.

3. When We Disclose Information

Providers at Your Direction: We share Beauty Seeker information with a Provider when you request or consent to that connection, such as your contact information, aesthetic goals, preferences, location, and other relevant information you have provided. Information you share with a Provider may be handled under that Provider's own privacy practices.

Service Providers: We disclose information to vendors and service providers that help us operate the Services, such as hosting, storage, analytics, AI infrastructure, communications, messaging, email, security, support, payment processing, and professional services. We require them to process information only as needed to provide services to us or as otherwise permitted by law.

Public Content: Content you publish publicly, including Provider profiles, articles, pages, reviews, comments, questions, images, and videos, may be visible to other users and the public.

Messaging and Social Platforms: If you use WhatsApp, X, email, phone, SMS, or other third-party channels to interact with the Services, information is also processed by those platforms under their own terms and privacy policies.

Legal Requests and Compliance: We may disclose personal information if necessary to comply with a legal obligation, respond to a court order, or protect the vital interests, property, or personal safety of GreatLooks, our users, or others.

In the Event of Merger, Sale, or Bankruptcy: If GreatLooks is acquired by or merged with a third-party entity, we reserve the right to transfer the information we have collected as part of such merger, acquisition, sale, or other change of control.

Aggregated or De-identified Information: We may use and disclose aggregated or de-identified information that does not reasonably identify you.

We do not sell your personal information for money. We also do not knowingly sell sensitive health-related information. If our use of advertising or analytics technologies is considered a "sale," "sharing," or targeted advertising under applicable privacy law, you may opt out by contacting us or using available browser and device controls.

4. Sensitive Information, AI, and Provider Data

Beauty and cosmetic goals can be personal. We use sensitive or health-related context only as reasonably necessary to provide the Services, connect you with Providers at your direction, maintain safety and security, comply with law, and improve our Services as described in this Privacy Policy.

AI features may process prompts, messages, Provider training materials, images, and other content through our systems and AI infrastructure providers. AI outputs may be reviewed, logged, or analyzed to improve safety, quality, and performance. Please do not include unnecessary sensitive information in AI conversations.

Providers must not upload protected health information, patient records, or other patient-identifiable data unless GreatLooks.ai has expressly agreed in writing to support that data type through an appropriate secure workflow. Providers are responsible for obtaining all notices, consents, authorizations, and rights required for information they submit to the Services.

5. Your Choices and Privacy Rights

  • Access, Correction, and Deletion: You can access, review, and change certain account information by logging into your account or using available Provider tools. You may also contact us to request access to, correction of, or deletion of personal information, subject to verification and legal exceptions.
  • Provider Sharing: You may choose whether to request a Provider introduction. Once information is shared with a Provider at your direction, that Provider's own privacy practices may apply.
  • Emails and Communications: You can opt out of promotional emails by using the unsubscribe link or contacting us. You may be able to stop messages on certain channels by replying with the applicable opt-out instruction. We may still send transactional or service-related messages.
  • Cookies, Advertising, and Analytics: You can control cookies through browser settings and may use available opt-out tools for analytics or advertising technologies. Blocking cookies may affect Service functionality.
  • Regional Rights: Depending on where you live, you may have additional rights to know, access, correct, delete, port, restrict, or object to certain processing, or to opt out of certain disclosures or targeted advertising. We will not discriminate against you for exercising rights provided by applicable law.

GreatLooks uses commercially reasonable physical, administrative, and technical safeguards designed to protect personal information. However, no internet, AI, messaging, or storage system is perfectly secure, and we cannot guarantee absolute security.

We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts, support Provider tools, comply with legal obligations, resolve disputes, enforce agreements, protect security, keep backups, and maintain legitimate business records. Retention periods vary based on the type of information, sensitivity, user settings, legal requirements, and operational needs. We may retain aggregated or de-identified information for longer periods.

If you request deletion, we will take reasonable steps to delete information from active systems, subject to legal and operational exceptions. Information already disclosed to Providers, published publicly, included in backups, or retained for compliance and security may not be immediately deleted.

7. Children's Privacy

Protecting the privacy of children is important to us. We do not knowingly collect or maintain personal information from persons under 18 years of age. If we learn that personal information of persons under 18 years of age has been collected, we will take appropriate steps to delete this information.

8. Visiting the Site from outside the United States

GreatLooks AI, Inc. is a corporate entity organized and existing exclusively under the laws of the State of Delaware, United States, and maintains no legal entities, subsidiaries, or corporate registrations in any other jurisdiction. Notwithstanding the foregoing, the Platform and Services are globally accessible and facilitate interactions between Providers and Beauty Seekers located in multiple countries. The Platform and its underlying infrastructure are hosted on servers located within the United States. By accessing or utilizing the Services from any jurisdiction outside of the United States, you acknowledge, understand, and expressly consent to the transfer, processing, and storage of your personal information in the United States, which may have data protection laws that differ from those in your jurisdiction of residence.

9. Call and Communication Monitoring

Communications with our AI Beauty Companion, Provider AI Assistants, support channels, and Provider tools may be monitored, recorded, transcribed, logged, or analyzed to provide the Services, improve AI quality, troubleshoot issues, maintain security, train personnel, enforce our Terms, and enhance user experience. This may include email, web chat, WhatsApp, X, phone, SMS, and similar channels.

10. Links to Other Sites

Our Platform may contain links to other websites that are not operated by GreatLooks. If you click on a third-party link, you will be directed to that third-party's website. This Privacy Policy does not apply to third-party websites.

11. Changes to this Privacy Policy

This Privacy Policy may be revised periodically. If we make material changes, we will notify you by updating the "Last Updated" date, posting notice through the Services, emailing you, or using another legally appropriate method.
